Unforeseen Disruption: How Disaster Recovery for Critical Documents Kept Businesses Revenues Afloat During Times of Unrest
These past few weeks have been reminiscent of the riots from a few years ago. What prompted the memory was watching the riots unfold on the West coast. Back when the riots erupted, a customer called and declared an emergency. Meaning, they needed to evoke their Disaster Recovery for Critical Documents service with our Business Continuity Centers. They simply couldn’t get their workers safely into the city and enter the building to begin or end their workday. The riots halted work production severely affecting their revenue. Without the Disaster Recovery for Critical Documents service, this would have hurt their business financially.
A Shift in Disaster Preparedness
A year prior to the riots starting in the major metropolitan area, many companies believed that printing their own critical documents such as invoices, policies, statements and other documents vital to their customers, printing and emailing on-site was better than using experts in this field. These companies thought that printing and mailing in-house would save them money and control the process. That theory was put to the test.
Today, many companies changed that policy and started to look for an outsourcing company. However, these companies still believed it was a risk of the unknown, versus what they knew. The Disaster Recovery for Critical Documents gave these companies a path.
Picking Up Where You Left Off
The Disaster Recovery for Critical Documents worked with these companies on a couple of different levels. First, if the company chose to keep printing internally, they can use the Disaster Recovery for Critical Documents as their emergency, Disaster Recovery for Critical Documents service. Meaning when a disaster strikes, such as the riots, natural disasters, strikes, or power outages occur, then the customer can call us up to evoke the disaster and we pick up where they left off with print and mail or print and email their critical documents. The benefit is clear. No lost revenue. It’s business as usual.
However, there is also another part of the Disaster Recovery for Critical Documents that customers can also choose to use. Within the Disaster Recovery for Critical Documents service, there is the At the Ready service. The company gives to Business Continuity Centers a portion of their current print to mail which reduces or eliminates all together the testing that is necessary to ensure both companies are in sync so if/when a disaster strikes, we both know everything is ready to go at a moment’s notice.
When a company uses both services, the company has the satisfaction of knowing that their revenue continues… and is realized faster.
Digital Data Centers has strategic locations around the U.S. to print and mail critical documents that will get to the end customer faster. Further, with our perfect match technology along with critical reporting, we know each of the critical documents are prepared correctly and efficiently so minimal processing is done by the USPS. This saves time and money.

Have You Tried Everything Possible to Reduce Your DSO?
It is understood that the DSO or Days Sales Outstanding is a hard number to budge. Customers will try to wait until absolutely necessary to pay the bill, or state that their payment schedule is X days to pay, which may not be in alignment with your company terms. Typically, if you have a high DSO, you need some improvement on efficiencies and collection. If your DSO is lower, then you’re doing pretty good. But what if you didn’t know about a particular service that can positively affect your DSO. Have you tried everything possible to reduce your DSO?
Critical Document Delivery
Critical document delivery is the expediency and efficiency of processing revenue generating documents (invoices, statements, credit memos etc), for faster delivery, trackability and traceability upon return, in order to realize revenue faster. Let’s discuss further.
Due to our capacity and dedication to ensuring critical documents are processed each day, we store all documents digitally, on-line, in a highly secure, cloud Portal. This type of an environment allows you levels of security of protection and access to your living documents. Meaning, if you need to go in and find a document, you can. If you want your customer to access the document for payment purposes, they can. If you want to track mailing or email of a specific document(s), you can. The Portal will hold as much storage as needed for your financial and A/R team. Its scalability can go as high and as much as you need. What’s important with any type of critical documents is immediate access.
Print to Mail and Print to eMail
These are grouped together as some critical documents are mandated or chosen by the customer to be printed and others chose to have their critical documents e-mailed with secure measures. However, both can contribute to reducing your DSO.
Print to Mail is the service where we take your critical documents check to ensure everything is in balance, place a security QR code on it, and print and prepare it for mailing. Other measures are reviewed such as printing on both sides, combining documents into a single envelope, and sorting your mail so to bring it as far down the mailing process as possible to ensure faster delivery and saving money. With the IMB located on the critical document, we’ll be able to track the document to ensure delivery. Next, based on the code included in the window envelope, we’ll also be able to tell you when the document is coming back so you know what revenue can be realized in a given period of time, that will affect your DSO.
In addition, if the document is not coming back and you can ‘see’ that in our Portal, where all critical documents are stored and even paid, your collections team can get into the Portal and begin following up on those customers to ensure payment comes in a timely manner.
Print to eMail is the process of sending in a highly secure manner, digitally, the critical document to a designated email address. This gives lots of information of when it was sent, delivered, was it opened and how many times it was opened by the owner. That’s key. If someone else tries to open that critical document, it will be digitally shredded, a report sent and the document will be printed and mailed as a replacement. Now you have a reason to contact them and understand what occurred. With the pertinent information, again your collections team can be right on top of the situation if the customer does not pay within the allotted timeframe. This again will affect your DSO.
What would this process mean for your company if you can shorten the time to payment? According to our customers, it means hundreds of thousands, to millions per year. Want to know more? Contact us today! Call 630-384-0900
Is developing a document strategy to scale something that is thought about for critical documents? New critical documents are added each day whether it be for invoices, statements, policies, and other important revenue generating documents. Many times, these documents go unnoticed due to the quantity of paperwork created in a single day. However, if you process critical documents yourself, or you outsource with print to mail or print to email, it’s important to know what the answer is. Can you or the supplier scale to your business growth? With that said, let’s discuss some of the important elements to consider for yourself or your supplier.
Managing and Storing Critical Document Information
There are numerous choices to be had including on-site, in the cloud or hybrid. When working with Digital Data Centers, we’ll discuss these options. Some customers want to maintain on-site documents and archive them, as it may be mandated by law. However, that shouldn’t stop you from knowing your revenue document scaling options with a compliant document delivery company such as Digital Data Centers.
Reduce Costs
When developing a document strategy to scale for your critical documents, you want something that can (hopefully) reduce costs. We get it. Technology costs and keeping it updated and secure can be a tall order. That’s why we do that for you. With our 30+ years in the business, we have never been breached. No information has ever been compromised. We supply the best security for your revenue generating documents.
We also reduce costs in other ways as well. If critical documents need to be printed, we save customers on postage, paper and other cost saving areas. Because of our proven processes, we save customers on average 1 to 3 DSO days. Based on your current DSO, what would that number be? Saving on something that is normally a static or constant number is valuable to your finance professionals.
Scalability
As Digital Data Centers uses digital solution along with a highly efficient print to mail process, you can be sure that you’ll be supported in your revenue goals. If every penny of your invoice is important to maximize, contact us today. We’ll work together to show you how much you can save. It’s a business case worth pursuing.

It goes without saying that the customer’s name, address and other important information is situated on the invoice, statement, check, policies or other critical documents. The documents can only be mailed out if this is included on the document. However, there are those freak times when paper gets stuck together, or the paper falls from the tray, or a person picks it up incorrectly and a page is out of order. What can result is one of your customers getting another customer’s documentation. This can cost you your business, a law suit and/or at minimum, complete restructuring of your current process. Would you think that to simply automate identification on critical documents do the trick?
What is Automate Identification on Critical Documents?
Digital Data Centers has a special technology called Perfect Match. This is a unique, yet tiny, intelligent 2D barcode that is place at the top, bottom or both of each page of the critical document whether it is sent digitally or printed and mailed. The intelligent 2D barcode carries pertinent information to ensure that the number of pages for that customer is accurate and in proper order. When the printed critical documents go into the envelope, we ensure that it is accurate and never compromised.
What Does this Mean to You?
When it comes to customers…everything. Your customers expect perfection each time, every time. The documents to be in the right order ready for viewing. If a page is missing or in the wrong order, customers immediately begin to go down the path of mistrust. That’s because you take care of their most important documents.

Developing an End-to-End Strategy for Your Critical Document Delivery
Developing an end-to-end strategy for your critical document delivery is the most effective way for financial teams to effectively manage the customer experience. In order to ensure satisfaction, there are three key areas to visit for the end-to-end strategy to work.
1. What decisions you need to make
2. Assess the risks involved and
3. The opportunities that can be found. Let’s take a look at each.
It's Decision Time
One of the decisions to be addressed is the transition from printing and mailing internally to an external organization. If you currently use an outside source, is it a standard printer (not recommended for security reasons) or a service similar to Digital Data Centers. The next decision to make is identifying the resources needed in the short term for the long term gains. Finally, what would it mean to reduce your DSO by a half day, single day or maybe even multiple days. How would that affect your bottom line as well as your processes?
Developing an End-to-end Strategy for Your Critical Document Delivery Using eSecure
The next step in the process is assessing the risks involved. Traditionally, companies use to think that keeping the process in-house was a better choice as you were able to maintain control. Until the Pandemic hit and you realized how vulnerable your process was. Executives were questioning their current processes and wondered is there something better out there that would reduce the risk. This is where eSecure comes in. It is your risk mitigation tool.
eSecure is the digital means of protecting your digital documents in an end to end capacity. This means that when the digital documents are being sent to us via secure transfer or placing our eSecure on your file, it is fully encrypted. If someone or something tries to open a document that is not the intended receiver, eSecure will automatically shred. This is critical for any type of cyber attack that may occur.
The eSecure stays with the documents all the way through processing including if it is emailed to the customer. Protection till the end. However, if it is printed, naturally, the encryption is off, but because we are Soc 1 and Soc 2 compliant, our facility is highly secure. Once the document leaves our hands, it goes to USPS for delivery. Again, we track each document and you can check online if it was delivered. This is the most data finance professionals has had on revenue generating documents.
You’ve Got Opportunities
It is true that you have opportunities that you have not had before. They include keeping revenue generating documents encrypted from start to finish, knowing where they are at all times, making more money per document, getting payments in faster and outsourcing this all to Digital Data Centers. It isn’t often to realize opportunities with overhead costs. Take a moment to learn more about our eSecure end-to-end process and view our Portal where all of your critical documents are stored and easily accessed. Developing an End-to-End Strategy for Your Critical Document Delivery is the most profitable thing you can do for your company today.
What Does Digital Transformation Mean for Critical Document Delivery?
In industry publications, you can find articles that discuss how executives are approaching digital transformation within their business. For most, each of the departments are taking a look at how digital can help save them money, streamline operations, and utilize automation to better control their processes. For those who want to use outside expertise in critical document delivery for their revenue generating documents, now is the time to take a closer look. With the changing landscape, it may be more profitable to outsource than to manage it internally. What does digital transformation mean for critical document delivery? Let’s take a closer look.
Making More Money on Your Critical Documents
There is a standard cost for generating, printing, monitoring and storage of your critical documents. You know what the cost is and it seems near impossible to get that cost down. The only thing you know for certain is that costs will go up. By outsourcing your critical documents to Digital Data Centers we decrease the cost per document saving you on a static line item. How? Our process. We streamline the printing with our high speed printers with accuracy due to our perfect match technology. We are also able to quickly segregate documents according to offer and message. DDC can monitor any one of your documents within the USPS mailing system so you know when it was received and even when it may be coming back for payment with your remittance.
Turning More of Your Printed Documents to Electronic Documents for Mailing
Another way to save to the bottom line and understand what digital transformation means for critical document delivery is to transition your customers from print to electronic. Now, many are still not comfortable with the delivery and acceptance of critical documents, which is why we have created a program to help transition customers from paper to digital. Here’s how.
We offer customers the opportunity to receive both paper and digital. Most people who receive the paper and digital critical document(s) transition on their own to digital. Sometimes it takes only a couple months, and some up to a year. Either way, it moves at the speed of your customer giving them the confidence that digital satisfies their document requirements. This again becomes a cost savings to that static bottom line.
Tracking Digital and Printed Critical Documents
If the critical document gets sent out via email, we will track the document and its activity. Meaning, we will monitor and track how many times the email and document was opened, clicked, and downloaded. For print to mail, we are able to track when it was processed and out for delivery. You can look up any one of these critical documents to see where it is at. Now if a customer calls and says I didn’t get the email or mail, you have ‘proof’ that they received it and what they did with the document.
What Does Digital Transformation Mean for Critical Document Delivery? It means turning your critical documents from paper based to digital, saving on printing and postage costs. It means getting the document payment to you faster. And it means tracking it wherever it’s at in its cycle with our Portal. Ready to make the transition? Contact us today to learn more.

As you may have heard, the Postmaster General has resigned from his position. His mission was to address the financial difficulties, reduce costs and modernize the USPS. All of this was to happen over a period of ten years. An interim post master general has taken his place until they can find his replacement. Clearly, there are changes ahead for the USPS.
There have also been some preliminary discussions on taking the USPS private and the government to get out of the business entirely. We’ll keep you posted if we hear any further development on the issue.
However, what can you do in the meantime? If you already use the print to mail services of Digital Data Centers, you already know how we take as much of the responsibility away from the USPS and complete the tasks for you at Digital Data Centers. We continuously bring your mailing as far down the mailing processing cycle as possible, leaving the delivery portion to the USPS. This helps you save money, and encourages a speedier delivery from the USPS.
Another aspect to consider is the print to email service from Digital Data Centers. If your operation allows, we can begin to work with you to transition your customers by receiving both print and digital critical documents ensuring their comfort level with print to email. If you would like to ‘see’ for yourself the profitable and effective program we’ve generated for our other customers that have successfully transitioned their customers from paper to print, let us know and we’re happy to share it with you.
You can be sure that there are changes ahead for the USPS, and we’ll help you become as profitable as possible with our print to mail and print to email services. Reach us today!
Is Outsourcing Critical Documents Still an Ugly Word?
Critical documents whether it be invoices, checks, bills, claims, credit memos, or statements, they are called critical for a reason. They are revenue generating transactional business communications that are at the heart of your business. For many years, organizations have gone back and forth trying to decide if keeping the print operations in house is more beneficial than outsourcing the print to mail service. Since the hit of the pandemic, many companies began to explore outsourcing due to the constraints. But we’re a few years beyond the pandemic. With that said, is outsourcing critical documents still an ugly word?
Data Security
One of the reasons organizations like to keep their print production in house is data security. If it’s within the four walls, it must be secure. Well, that’s not necessarily true. As the outsource critical document delivery company, we need to be SOC 1, SOC 2, PCI, HIPAA compliant as well as a wealth of additional security. For an internal company, you don’t need to maintain these compliances which does put you at risk. But considering is outsourcing critical documents still an ugly word, we’re going to add something to the whole security level that most have not considered. Our eSecure solution. eSecure is a highly effective data security solution that accomplishes the following:
• When the data file is transferred from the customer to Digital Data Centers, the file can be encrypted on your desktop prior to sending it over. Because it is already encrypted, it can be sent via email or send it over SFTP, a secure file transfer. If ever the file is exposed, and not opened by the authorized receiver, it will automatically electronically shred itself.
• When the file is received by Digital Data Centers it remains encrypted throughout the entire printing, and preparation process until it leaves our facility and goes to USPS. For emailing the critical documents, it remains encrypted in the email process and can only be safely opened by the receiver. Again, if someone other than the owner attempts to open the file, it will automatically electronically shred. If it does shred, notifications are received, and a printed version is sent to the customer.
Accuracy of Each Critical Document Delivery
Organizations rely on their employees to perform their job accurately without guidelines in place. Meaning, problems can arise with an extra page of another customer can end up in the wrong envelope. How can that be controlled internally? Without the proper technology, there will always be that risk.
However, at Digital Data Centers, we have implemented Perfect Match Technology that ensures that the right documents are together, stay together and are placed into the envelope with accuracy. Mistakes can cost your organization, and our security and technology ensures accuracy every time.
Postage Savings & Mail Tracking
As an organization, you only have so many documents to be mailed, which will give you possibly some savings, but not quite as much as a professional print and mail center. We’re able to save more on postage due to quantity, but also our processes. We prepare your critical documents further down the mailing cycle so minimal efforts from USPS needs to be completed before delivery. This helps to speed up the process so your critical documents get into your customers hands quickly. Due to the relationship, we maintain with the post office, we’re able to track your mail. We can provide you with statuses to ensure satisfaction of delivery.
Is Outsourcing Critical Documents Still an Ugly Word?
When we take a look at some of the parts of the critical document delivery process, that ugly word of ‘outsourcing’ isn’t so ugly anymore. Today it means high levels of compliance, security, accuracy and savings. Now it’s time to find out how these words can apply to you. Find out today with a complimentary evaluation of your mailing and emailing process. Contact us today at 630-384-0900.
We have already seen the what’s happened around the US when it comes to natural disasters. Now, add on worker strikes, rolling blackouts or if the bird flu turns into another pandemic. Are you prepared for what comes next? Do you know what is the cost of unplanned downtime to your company? It can be devastating.
A study was released by Aberdeen Research that stated, “82% of companies have experienced unplanned downtime”. This was the percentage for a period of three years. They found that it cost the company as much as $260,000 per hour.
What is the Cost of Unplanned Downtime? Let’s break it down per the research.
Cost of Recovery.
When a disaster occurs, and remember, it doesn’t need to be weather related, you’ll need to figure out how to address the issue. Let’s say it’s lost data. Not only will you need to analyze your internal processes, but you’ll also need to take into consideration any external costs like a consulting firm that specializes in cybersecurity. Was this in your budget?
Loss of Revenue
When there is downtime, that means revenue generating critical documents are not going out. It doesn’t matter if it is paper based or email. They simply don’t go out. Disaster Recovery plans do not include critical documents and that’s because any off-site facility doesn’t include printers waiting to be run or a separate system can be used to send out electronic communications. Again, add to the cost of unplanned downtime.
Loss of Customer Trust
Let’s remember that the cost of unplanned downtime also includes your customers trust and your company’s reputation. If critical documents don’t get to your customer when they are expecting it, this can begin eroding their trust that you can deliver when you say you can. This not only damages relationships with your customers, it also damages relationships with suppliers and partners.
Solutions to Ensure Revenue Continuation
To address business continuation while the disaster is going on, your best choice is to work with Digital Data Centers’ Business Continuity Centers. There are two ways to address the situation:
1. Use our Disaster Recovery for Critical Documents. When a disaster strikes, you get to declare an emergency and we will immediately take over where you left off. Each quarter or year (depending on your preference), we test out the system to ensure we are able to act fast so your revenues continue without interruption. However, you can go one step further that can save you some money on the testing phase.
2. At the Ready Service: This is still part of the Disaster Recovery for Critical Documents. The only difference is that instead of implementing the DR testing, we complete printing to mail services on a monthly, daily, weekly basis. This ensures that we are always ready to support and protect your revenue.

California Wildfires. What Happens when there are No Mailboxes?
It goes without saying that the events in Los Angeles are tragic, and our hearts go out to those affected by the fires. At Digital Data Centers’ Business Continuity Centers works to keep the critical documents flowing, even without mailboxes. Our Disaster Recovery for Critical Documents ensures that we get critical documents out and to the right person when you can’t.
The USPS mail service was stopped for a short time and either was able to reopen or move mail to another location so residents can pick up their mail. That’s great, but for many, their checkbooks have been burned or missing in the fires.
As a Disaster Recovery for Critical Documents service, we perform services that if service can’t make it there, another one takes over. Meaning, that if your customer wants to receive paper invoices or statements, and a disaster happens where it cannot get to that person, then our print to email service kicks in to ensure delivery. This service ensures receipt of delivery into the email box, and then we track if it was opened, viewed and how many times this action was performed.
We understand how revenues are affected due to disasters. That’s why our Disaster Recovery for Critical Documents is crucial for any business to use. A standard Disaster Recovery plan does not include print to mail or print to email. Nor does it include a Portal where people can go online and pay now or pay a date out into the future. Our job is to protect your customers and your revenue. Contact us today to find out how you can be protected if a disaster happens.

Check processing is most often overlooked as a way to save money. Not only is the company paying money out...they are also paying for the processing of the check, printing of the check, and mailing of the check. It is a line item expense on the balance sheet most often considered as 'overhead expense'. Nothing you can do about it, just live with it.
How can you save with Digital Data Center's check processing solution?
It seems like a cliché…We provide economy of scale. Simply stated, we print thousands of checks each day. We have all of the tools to drive down the costs…We already own the large specialty check printers, we own the fast check printing machines, we print MICR, we have proven, streamlined processes developed from our years of experience. It’s no wonder our cost to print checks is far less.
Next, and here’s one that few think about, or even know about. If Digital Data Centers is able to use standard safety paper, we are able to image the variable data elements (all of the unique information) onto the safety page, eliminating the need for pre-printed forms!
Finally, we get how hard it is to send checks out on-time. Checks have a rigorous SLA (service level agreement) for receiving and mailing checks. We get it. We do it all day, every day.

Then ask if you can explore their current method so you can tell them how much they can save off their fixed expense each month.
Remember, keeping Digital Data Centers in your everyday selling gets you into new departments with reoccurring business each month….and each year.
